From start-up to successful company - the scalable mini-multicell system from Gigaset in physiotherapy practices

Physiotherapy practices, with their high volume of public traffic, have high demands when it comes to telephony solutions. Communication is business-critical here - from appointment management to consultations between therapists between individual sessions. A mini multi-cell system from Gigaset is used in the nine treatment rooms on the two floors of the MedicoFirst health centre in Ibbenbüren, which really comes into its own when used with the pascom cloud telephone system. Gigaset Professional partner Kutschenreuter Communications has implemented a ‘Made in Germany’ solution that not only works perfectly in physiotherapy, but is also the right choice for any company with growth plans – the model is scalable from 20 to 20,000 handsets.

Company profile: young start-up with big ambitions

The rooms of the MedicoFirst health centre in the centre of Ibbenbüren are spread over two floors. In 2019, the young physiotherapist Stephan Windmann set up his own business here in the former mining town in North Rhine-Westphalia. His overall concept includes rehabilitation with physiotherapy and osteopathy as well as prevention with the areas of exercise, nutrition and psyche. Windmann's holistic approach is extremely successful: he and his team now work with clients in nine treatment rooms, with the physiotherapy and training areas each having their own reception area. Stephan Windmann also wanted a holistic solution for communication that would be able to grow with his business.

‘When I started thinking about communication at MedicoFirst, Gigaset was the first company that came to mind,‘ he recalls. “Here in the Münsterland region, everyone knows Gigaset as a reliable manufacturer that stands for quality 'Made in Germany'. His path initially led him to the Gigaset Professional website. He used the dealer search function to contact Kutschenreuter Communications. The telecommunications supplier, with offices in Berlin and Zwickau, has been a Gigaset Professional partner for many years, serving customers throughout Germany. ‘I felt in good hands right from the start,’ says Stephan Windmann.

The initial situation: high standards and medium-term growth plans

Appointment management at the MedicoFirst health centre is the responsibility of the reception team: dozens of clients every day, telephone appointments, rescheduling, cancellations and arranging follow-up appointments. Stephan Windmann wanted to create a modern and efficient workplace for his employees, with enough freedom for the most important thing in the healthcare business: interpersonal contact.

The fact that the rehabilitation and prevention areas are on different floors, but that all team members should be equally accessible in all rooms, complicated the task. The therapists only have time for phone calls between treatments, so appointments need to be well planned. It was necessary to cover two floors with several rooms, some of which were quite small – this could not be done with a WLAN solution. ‘Due to the requirements, only a Gigaset Professional solution based on DECT came into question here,’ says Nico Kutschenreuter, CEO of Kutschenreuter Communications. And Stephan Windmann confirms: ’After the first intensive consultations, it was clear that the mini-multicell system from Gigaset was exactly what I needed as a start-up.’

The solution: the right partners and a scalable mini-multicell system

Today, modern DECT desktop phones are in use at the two reception desks at MedicoFirst, in combination with headsets and softphones. The ONE cloud telephone system from pascom runs in the background. The intuitive interface of the desktop client provides an overview of all availabilities and enables convenient call management.

An IVR system (Interactive Voice Response) on the central number allows callers to choose which department they want to speak to. They are automatically informed about the different availability times and can leave a message if necessary.

Three Gigaset N670 IP PROs were combined to create a mini multi-cell system that spans a DECT roaming network across both floors of the MedicoFirst health centre. ‘This means we cover the entire business premises,’ says Nico Kutschenreuter. “The team can move around freely and can be reached anywhere, no matter where they are. Coverage and range are significantly better than with a DECT repeater.” The Gigaset N670 IP PRO supports up to 20 DECT handsets and eight simultaneous calls. It works with both on-premises and cloud-based telephone systems. For Kutschenreuter, Gigaset and pascom are the perfect match: ‘The cloud telephony solution provides excellent support for Gigaset single and multicell systems. Features such as the central phonebook are available on all handsets. And, as you would expect from Gigaset, it is very easy to set up.’ MedicoFirst currently uses six Gigaset SL800H PROs.

Simplicity is also very important to Mathias Pasquay, CEO of pascom GmbH & Co. KG. He has been working with Gigaset in the field of professional DECT systems for a long time – the two companies have always worked together to further develop their solutions. ‘During the many years of integration, it was particularly important to us that it be quick and easy to use,’ says Pasquay. ‘It has to be quick and easy for the integrator to commission the system, and quick and easy for the end customer to use.’ That is now paying dividends in Ibbenbüren.

Thanks to the autoprovisioning feature of the Gigaset N670 IP PRO, Nico Kutschenreuter can provide remote support to his customer Stephan Windmann. ‘New handsets can be integrated very easily. We read them in via autoprovisioning, send them out ready to use – the customer just has to unpack them, register them on the system and they can use them immediately.’ Stephan Windmann is more than satisfied: ’The mini multi-cell solution has improved our internal and external communication enormously.’

And the project has also helped him find the right partners for the future of the MedicoFirst health centre. ‘My goal is for MedicoFirst to continue to grow while maintaining high quality standards – and that will change the demands on the communication solutions.’ This is where the expandable Gigaset N670 IP PRO can show its strengths. ‘The system is absolutely future-proof,’ explains Nico Kutschenreuter. ‘The hardware can grow from small to large. If you start with a single cell, you can turn it into a large multi-cell system while continuing to use the existing hardware. If the rooms expand or even more branches are added, it is possible to scale with the same solution.’
